Microsoft 365 licensing

Microsoft 365 licences give access to the Microsoft services the company uses: email, office apps, storage, Teams and, depending on the plan, management and security features. A quote request specifies needs, the plans to assess, accounts, renewal and management.

Short answer

You describe your users, your uses and the licences you already hold: your request is reviewed by the Courtier TI team, then entrusted to the IT services company that will prepare your quote and supply the licences. Plan selection, configuration and renewal are set with you.

Start from the needs

Describe user groups rather than plans: office staff who use the office apps, field employees who mostly check email and Teams on a phone, common accounts for a front desk or a department. State the number of users per group and expected growth. One subscription can combine several plans across groups.

Security depends on the plan and the configuration

Some security and management features require specific licences. For example, Microsoft states that Conditional Access requires Microsoft Entra ID P1 licences, and that customers with Microsoft 365 Business Premium licenses can also use Conditional Access features. Likewise, according to the Microsoft Learn Intune licensing page, Intune is included in several Microsoft 365 bundles, and an Intune licence is required for any user or device that benefits from the service.

A feature included in a plan is not active by default: it must be configured. Ask the quote to state which security features the proposed plan includes, which will be configured and by whom. Accounts and administration

The subscription and administrator accounts should belong to the company. State who currently holds administrator access, who receives Microsoft's invoices and which address the accounts are tied to. If you change IT services companies, this access must be able to be handed back to you.

When an employee leaves

Microsoft Learn describes the steps to follow when an employee leaves. The mailbox can be converted to a shared mailbox; according to Microsoft, it does not require a licence as long as it is smaller than 50 GB, and the former employee's account must not be deleted, since it anchors the shared mailbox or email forwarding.

When a licence is removed from a user, Microsoft states that the user's data is held for 30 days; after that, the user's content, except for documents stored in SharePoint, is permanently deleted. Ask the quote to state the planned departure procedure, who applies it and what is done with the data.

Migration, SharePoint and Teams

What to specify in your request

  • The number of users per group and their uses
  • Licences held, how they are assigned and their renewal date
  • The security and management features wanted
